Which account type should I sign up for?

There are four different account types: Candidate, Referrer, Agency, and Employer. The account type you choose will depend upon how you want to use the site.

If you want to search for a job for yourself, you should sign up for a Candidate account. If you want to refer your friends or contacts for jobs, you should sign up for a Referrer account.

Candidate and Referrer accounts allow you to apply for vacancies directly or to refer friends and contacts for a role.

If you work for an Agency, and you want to introduce Candidates to Employers, you need an Agency account.

An Employer account allows you to list job vacancies on the site on the site and attract potential Candidates.

Can I have several accounts?

If your primary account type is Candidate, you may also use it as a Referrer account, so that you have the option to apply for jobs yourself by Direct Application and also refer your friends and contacts to suitable vacancies.

If you are a Referrer and then decide that you wish to apply for a job for yourself, your account will be upgraded to a Candidate account. In this instance all the information that was available via the old Referrer account will be accessible through your Candidate account. The system will not allow you to create more than one personal account to run concurrently, even if you use different email addresses for each; however, if you have an Agency or Employer account registered under your work email address, you may also create a separate Candidate/Referrer account using your personal email address and vice versa, if applicable.

User accounts

Employer accounts have a “Master User” who is responsible for the overall administration of the account.  Employer Users are able to load jobs and assign access to other registered users using the drop down lists on the “Add a vacancy” page.

Agencies can create a “Master User” account to oversee all consultants’ activity and then create unlimited consultant user accounts. A free, seamless and standardized approach to submitting candidates.

Can I cancel my account?

You can cancel your account at any time. To close your account, email us via our Contact Us page.

Employers who cancel their account prior to the expiry date of their license will not be entitled to a refund for any of the fees relating to the remainder of the licensing period.

If you have a Referrer or an Agency account and you cancel it, you will not be able to receive any pending Rewards or Introduction Fees including those in relation to Candidates who are already in process and who are subsequently successfully placed.

If you are a Candidate, any pending job applications will be cancelled, and you will lose any pending Sign-on Bonuses.

Can I choose not to receive any more job emails?

Yes, you can control which job emails you receive by clicking on the ‘My email alerts’ tab and following the instructions

What happens if more than one person refers the same job to me?

For Candidates


If more than one Referrer refers you for a particular job, then you can choose which Referral to accept by entering the code you received in the applicable email. Once you apply, the Referrer will be notified that their referral has been accepted for that particular job. Any other referral emails sent to you in respect of that position will not be accepted by the system.

Why haven’t I had a response to my application from the Employer?

When you apply for a job you will receive an email from mypeoplebiz acknowledging your application. mypeoplebiz advises Employers that in the interest of best practice they should personally respond to all applications, but it is up to the individual Employer whether they choose to make such a response to all applicants. If you have not received a response or if you require feedback on how your application is progressing, you must contact the Employer directly.

Why is my job search not returning many results?

It could be that the search criteria you entered were too detailed. Try selecting fewer categories, or expanding your search to a larger geographical area. If you tried adjusting your search and your results are still limited, try clearing your cache. A guide on how to do this can be found here: http://kb.iu.edu/data/ahic.html

How can I get more information about a job advertisement?

If you would like more information about a job advertisement, you must contact the Employer directly with any queries you may have.

Why are there no Sign-on Bonuses displayed for Temporary positions?

Temporary roles do not currently carry any Rewards or fees. Employers can advertise Temporary roles on the site and Candidates can apply directly, be referred by a friend or be introduced by an Agency. Rewards may become available for Temporary roles in the future.

If I am successfully placed in a Permanent or Contract role, how much will I receive for my Sign-on Bonus?

The value of the Sign on bonus available for each Permanent and Contract role is clearly displayed on the blue “Apply and Earn” button in the body of the job advertisement. The Sign on bonus does not vary from this amount under any circumstances; it is the same for every Candidate and you receive the same amount whether you apply directly, through a Referral or through an Employer finding you via the Candidate Search facility. Even if the salary you are ultimately offered varies from the advertised salary, the bonus will not change from the original amount displayed on the blue “Apply and Earn” button.

The only instance in which you do not receive a Sign-on Bonus is if you are being represented by an Agency. This is because Agencies coordinate the entire application process on your behalf, finding you a suitable job, submitting your details, arranging interviews and so on.

When and how will I receive my Sign-on Bonus?

8 weeks and 1 day from the date of commencement of your employment, or at the end of your contract, (whichever is soonest), we will email you confirming that you are now eligible for your bonus. We will then email the Employer and payment will be made to you in the course of your next pay cycle. If you have not received your cheque after this time, please contact us to find out the reason for the delay. In the unlikely event that the Employer does not pay the money to you , you will need to liaise with the Employer directly (and/or take legal action if desired) in order to claim your bonus.

Does the Employer pay my tax?

Payment of your sign on bonus will be made by your Employer through your normal pay cycle; they will be able to inform you of the tax implications of this. Mypeoplebiz is not responsible for any such tax implications.

For Referrers

How can I get more information about a job advertisement?

If you would like more information about a job advertisement, you must contact the Employer directly.

How many people can I refer?

You can refer as many people for as many positions as you like.

What if someone else refers my Candidate to the same job?

If more than one Referrer refers the same Candidate for a particular job, then that Candidate can choose which Referral they wish to accept. Once the Candidate applies, the Referrer will be notified that their referral has been accepted for that particular job. Any other referral emails sent to that Candidate in respect of that position will not be accepted.

If I want to refer someone for a vacancy, do I have to know any information about them, or obtain a copy of their CV?

No, all you need to know is their name and email address. The referral process is very simple. You send an email to your friend or acquaintance through the Website and details of the job are sent to them. If they are interested, they can click on the link in the email, and then join mypeoplebiz and apply for the vacancy. You don’t have to take any further action. You can keep track of how the application is progressing just by logging onto the Website and clicking ‘My referrals’. You will receive email updates from the Website as well to keep you informed of your Candidates’ progress.

Will the Employer know my identity?

No, you remain anonymous to the Employer. The Employer will be aware that the Candidate has applied as a result of a referral, but they will not be provided with your name. We will even collect your Reward for you, so there is no need to reveal your identity.

Why are there no Rewards displayed for Temporary positions?

Temporary roles do not currently carry any Rewards or fees. Employers can advertise Temporary roles on the site and Candidates can apply directly, be referred or be introduced by an Agency, but there are is no sign-on bonus or Referral fee attached. Rewards may become available for Temporary roles in the future.

How is my Reward calculated for permanent positions?

The exact value of the Reward available is clearly displayed on the job advertisement when you apply. The Reward does not vary from this amount under any circumstances and it is the same for every Referrer. Even if the salary ultimately offered to your Candidate varies from the advertised salary, the Reward will not change from its original amount.

What is a successful Referral?

A successful referral is when a Referrer notifies a potential Candidate, for example one of their friends or acquaintances, about a job vacancy that they think would be suitable for them. The Candidate applies to the role stating that Referrer’s unique referral code and then goes through the recruitment process with the relevant Employer and is then employed by that Employer and remains employed with them for at least 8 weeks, or for the duration of the contract (whichever is soonest). At this point the Referral is deemed to have become a successful placement, and the Referrer is eligible for a Referral fee.

How do I know when a Referral has been successful?

You can track your referral under ‘My Referrals’ by logging on to the site. Also, we will email you to keep you up to date with any developments. You will be informed if/when:

• Your Candidate applies for the position

• Your Candidate is offered the job and accepts

• Your Candidate commences employment

• Your Candidate completes the 8 week guarantee period, or the duration of the contract (whichever is soonest). This is the point at which the referral is deemed to be ‘successful’.

• You will also be informed if your Candidate’s Employment is terminated before the end of the 8 week period or the contract.

When and how will my Reward be paid?

8 weeks and 1 day from the date of commencement of your Candidate’s employment, or at the end of the duration of their contract (whichever is soonest), we will email you confirming that you are now eligible for your Reward. We will invoice the Employer and collect your Reward on your behalf. In order to receive your Reward, you must invoice us at accounts@mypeoplebiz.com. Please ensure that the invoice contains your name, address, unique Referral code, the Candidate’s name, the job reference and the Reward amount. You should receive your cheque within 60 days after you have invoiced us.

If you have not received your cheque within this time period, please contact us and we will advise you. Your contract is with the Employer, so in the unlikely event that they do not pay the money to us, you will need to talk to the Employer directly (and/or take legal action if desired) to try and claim your Reward.

Does the Employer pay my tax?

No. The responsibility for payment of the correct amount of tax lies with you, the Referrer. mypeoplebiz retains a record of all Rewards paid for provision to the Inland Revenue, if requested, so you are advised to contact the Inland Revenue and/or conduct a self assessment in accordance with IR rules.

Can I split my Reward with my friend/acquaintance?

You may do whatever you like with your Reward. However, do remember that you may have tax to pay and this may also apply to your friend if you give a portion of the Reward to them.

For Employers

How long will my job advertisement stay on the site?

Job advertisements are active for 30 days from the date you post them. We will send you an email reminder when they are almost due to expire giving you the option to renew them if you wish. You can also manually terminate a job advertisement at any time; if you do this, the vacancy will no longer be published on the site, but all pending Applications, Referrals and Introductions will remain active. You can then deal with these as you see fit.

What if I want to request more information from a Candidate who has applied for a vacancy?

You must contact the Candidate directly and ask them for further information.

Is it possible for me to receive duplicate Applications, Referrals and Introductions regarding one Candidate for the same role?

No. The Website has a Candidate tracking system designed to prevent the same Candidate making multiple applications to one job, even if they try to set up a second account with a different email address. The system will also block any duplicate Referrals and/or Introductions. This also works across the different methods of sourcing, so, for instance, if a Candidate applies directly, an Agency will not then be able to introduce them for the same vacancy.

How do I track applications?

The ‘Status’ options allow you to keep track of your Candidates as they move through the application process. Here is a summary of the different status updates and what they mean.

Applied – A default status that appears automatically when a Candidate applies (Directly or through a Referral) or is introduced by an Agency.

Reject – You can select this option at any point prior to selecting the “Offered” status and it will automatically generate a rejection letter which will be sent to the Candidate.

Invite to 1st Interview – Select this if you wish to invite a Candidate to a 1st interview. You will be given the option to email the Candidate and set up the interview directly from the mypeoplebiz site.

1st Interview – Select this once you have already arranged a 1st interview with the Candidate and are waiting to move onto the next stage in the process.

Invite to 2nd Interview – Select this if you wish to arrange a second interview with the Candidate. You will be given the opportunity to email the Candidate and set up the interview directly from the mypeoplebiz site.

2nd Interview – Select this once you have already arranged a 2nd interview with the Candidate and are waiting to move onto the next stage in the process.

Invite to Further Interview – Select this if you wish to invite the Candidate to any more interviews after the initial two interviews. You will be given the opportunity to email the Candidate and set up the interview directly via the mypeoplebiz site.

Further Interview – Select this once you have organised a further interview with the Candidate and are waiting to move onto the next stage in the process.

Offered – Select this once you have offered the job to the Candidate, and are awaiting their decision.

Offer Accepted – Select this when the Candidate has accepted your job offer. The Candidate/Agency/Referrer will be automatically emailed with an email confirmation containing advice about the next steps in the recruitment process.

Offer Rejected – Select this if the Candidate has rejected your offer of employment.

Commenced Employment – This must be selected on the Candidate’s first day at work. Please note, you must not select ‘Commenced Employment’ until the Candidate has actually commenced their employment. Once you have made this selection you cannot change the Candidate’s status back again, and selecting it will start the guarantee period ‘countdown’ to the point when the placement fees become payable by you. The Candidate and the Referrer or Agency will be automatically emailed with confirmation of this. The only change you can make is to select “Employment Terminated” in the event that the Candidate’s employment with your company is terminated.

Employment Terminated – If, once the Candidate has commenced employment, the Candidate’s employment is terminated, select this option. For Permanent roles, the Candidate and the Referrer or Agency (if applicable) will be automatically emailed with confirmation of this, because terminating employment during the guarantee period impacts upon the fees payable by you, the Employer. Where a Candidate’s employment is terminated in the case of Temporary roles, there will be no automatic email generated from the site as Temporary roles do not currently offer any Sign-on Bonuses, Referrer Fees or Agency Introduction Fees.

We are also in the process of developing an advanced communications suite. This will provide you with correspondence template management and interview management allowing Employers subscribing to the Branding Packages to customise and tailor all electronic communications to Candidates, set up templates for regular use and organise interviews and document feedback on Candidates at every stage of the recruitment process.

How do I filter the Candidate applications to make a shortlist?

When you post your job advertisement you can choose to make use of various types of filter question in order to determine whether each Candidate has the requisite skills for the particular job they have applied to. The types of question are as follows:

Killer QuestionThis will permit only a yes or no answer. You can determine which answer will allow the application to process and which answer will cause the applicant to be automatically rejected.

Ranking Questions – These offer the Candidate multiple choice answers with weighting assigned to each answer to allow the system to automatically numerically rank the candidate. The Candidate’s suitability to the role will be ranked depending on their answers.

Open Questions – These allow you to ask very specific competency-style interview questions relating to the particular role, and allow the Candidate to respond with free text which you can then assess for suitability.

You can use any one of these filter techniques or a combination of all three.

How much does mypeoplebiz charge for Employers to use the Website?

It is free to post unlimited unbranded jobs.

Alternatively, we offer 2 branding packages:

Pay as You Go - £100 setup fee and £250 per job posted – You receive a microsite and post fully branded jobs, with a fee of £250 for every job you post.

Full branded - £100 setup fee and £400 per month - Receive a microsite and post unlimited fully branded jobs.

The first 2 users are free; the 3rd, 4th and 5th additional user license will be charged at £100 per user per month and thereafter each additional user login (for the 6th person upwards) is charged at £50 per user per month.

N.B. By signing up to use the Website, you will also be committing to paying Placement Fees for successful Candidate placements (see below.)

What fees will I have to pay for successful placements?

NB: before posting each job, you may view a ‘preview’ page which displays the precise fees you will pay to each party involved in each placement, based on the salary and percentage options you select when you post the job (see below). This ensures transparency and full awareness before you confirm your selections.

When you post a Permanent or Contract vacancy, you must enter the intended annual salary boundaries e.g. £35,000 - £40,000. (NB: these values are NOT displayed on the job advert. The system uses them to calculate the placement fees.)

You must also enter a ‘display salary’. This is the salary that appears on the face of the job advertisement and which should be representative of the intended annual salary. You may wish to put, for example, “up to £40,000” or “Market Rate”.

For Contract vacancies you must also enter the duration of the contract in the “contract length” field. The system will then automatically calculate the fees payable based on the median annual salary and taking into account the contract length. So, for example, if your annual salary (min) is £20,000 and your annual salary (max) is £40,000 and your Contract length is 6 months, the system will base the fee calculation on a salary of £15,000, this being the median wage payable for the duration of the 6 month contract.

You have the power to choose the exact percentage you are willing to pay for a successful placement, within the following parameters:

a) If a Candidate is introduced by an Agency, you can choose to pay between 7-30% of the median salary.

b) If a Candidate applies as a result of a Referral, you can choose to pay between 7-10% of the median salary.

c) If a Candidate applies directly, or as a result of an approach by you following a CV search, the fee payable will be set at 35% of the Referral fee (ultimately, 2.45-3.5% of the median salary).

There are currently no Bonuses, Referral or Introductory fees available to Candidates, Agencies and Referrers for successful Temporary placements, so you will not be charged for this type of assignment. You can still advertise for Temporary positions on the site and Candidates still have the option to apply direct, via an Agency or as a result of a Referral. If a Candidate is introduced to you by an Agency you must negotiate the fee with the Agency of your own accord.

Can I prevent agencies from submitting candidates for a particular role?
Yes. When you post a job there is the option to exclude agencies from submitting candidates altogether. However, this may well significantly decrease your candidate flow, and instead we would recommend allowing agencies to submit candidates at the same rate as referrers. You will therefore avoid paying expensive fees.
Can I implement a PSL through the site?
Yes. There is the option to open up your role only to referrers, direct applicants and agencies on your PSL. The PSL itself can be formulated in the “My Account” section of the site once you are logged in, and allows you to browse all agencies which have signed up to date and select which you would like to submit candidates for your role. The option to only allow your PSL to submit candidates can then be selected when posting each role online.

If I change my mind and want to increase or decrease my selected Fee percentages after I have posted a vacancy, can I edit the job vacancy advert to reflect this?

No. If you want to re-advertise the position offering higher or lower incentives, you will have to delete the current vacancy advertisement and create a new one that fits your requirements. (NB: you can edit other, text-based aspects of your vacancy advertisement, e.g. the job description.)

When and how will I be required to pay the Placement Fees?

Placement Fees for Permanent or Contract roles are only payable once a Candidate has accepted a job offer from you, and has remained in employment with you in that role for at least 8 weeks, or the duration of their contract (whichever is soonest) after their start date.

Invoices will be rendered 8 weeks and 1 day, or at the end of the contract period (whichever is the soonest), after the date of commencement of the Candidate’s employment with you, (as indicated by you in choosing the status, ‘commenced employment’). Fees are payable within 14 days of the invoice date.

You will be issued with the following invoices, dependent upon circumstances:

a) If the Candidate applied directly, you will receive an invoice from mypeoplebiz for our fee. The Candidate Placement Fee is payable to them by you within the normal pay cycle; you will receive an email from us reminding you of this.

b) If the Candidate applied as a result of a Referral, you will receive one invoice from mypeoplebiz for both our fee, and the Referrer’s fee. We will distribute the referral fee to the Referrer so that they may remain anonymous. The Candidate Placement Fee is payable by you within the normal pay cycle; you will receive an email from us reminding you of this.

(c) if the Candidate was introduced for the Vacancy by an Agency through the Website, we will invoice you  for MPB’s fee, and for the Introduction Fee due to the Agency.

Are there any tax issues with the payment of Fees?

You are responsible for making sure that tax is paid on Candidates’ sign on bonuses. Apart from this, all other parties (mypeoplebiz, Referrers and Agencies) are responsible for paying their own tax on their fees and Rewards.

Will the Fees be increased/decreased if I ultimately end up offering a Candidate a slightly higher/lower salary than originally advertised?

No. The Fees payable for the successful placement of a Candidate are always based upon the median salary calculated using the figures you have inputted in the “annual salary (min)” and “annual salary (max)” fields. You cannot change these figures once the advert has been posted. The exact values of the placement fees are displayed in a fees table on the advertisement preview page before you post a vacancy, and on the face of the job advertisement itself. The fees do not vary from these amounts in any circumstances.

Please note that minor changes to the final salary are acceptable, but if there is a major discrepancy which suggests abuse of the system, we will investigate accordingly.

What happens if the Candidate leaves within the guarantee period of 8 weeks?

You must inform us as soon as possible, by changing the Candidate’s status to ‘Employment terminated’. You must change this status by the end of the last day of the 8th week since the commencement of the Candidate’s employment, otherwise you will be obligated to pay all Fees in full.

For Agencies

Is there any charge for me to use the site?

No, it is free for Agencies to use.

How many Candidates can I introduce for a Vacancy?

The number of introductions for each vacancy is unlimited.

How can I get more information about a job advertisement?

If you would like more information about a job advertisement, you must contact the Employer directly.

Why haven’t I had a response to my Candidate’s introduction?

When you introduce a Candidate for a job that is advertised on mypeoplebiz, the email is redirected to the Employer responsible for that job vacancy. mypeoplebiz advises Employers that in the interest of best practice they should respond to all introductions. However, we do not have any control over whether or not an Employer chooses to respond. If you require a response from the Employer at any point in the recruitment process and have not yet received one, you will need to contact the Employer directly.

How will I know how much I can earn in Introduction Fees for Permanent positions?

The exact value of the introduction fee available is clearly displayed on the face of the job advertisement. The introduction fee does not vary from this amount in any circumstances; it is the same for every Agency. Even if the salary ultimately offered to your Candidate varies from the advertised salary, the introduction fee will not change from its original amount.

What is a ‘successful introduction’?

A successful introduction is when an Agency introduces a potential Candidate, via the mypeoplebiz site, to an Employer for an advertised position. The Candidate applies to the role and then goes through the recruitment process with the relevant Employer, is then employed by that Employer and remains employed with them for at least 8 weeks, or for the duration of the contract (whichever is soonest). At this point the introduction is deemed to have become a successful placement, and the Agency is eligible for an introduction fee.

When and how will my Introduction Fee for permanent and Contract positions be paid?

8 weeks and 1 day from the date of commencement of your Candidate’s employment, we will email you to inform you that the placement has been successful, and confirm the amount due to you. You may then invoice mypeoplebiz for the stated amount. Your invoice must contain your company name, address and contact details, the Candidate's name, the job reference and the Introduction Fee amount.

Why are there no Introduction Fees displayed for Temporary positions?

Temporary assignments do not currently carry any Rewards or fees. Employers can advertise Temporary jobs on the site and Candidates can apply directly, be referred by a friend or be introduced by an Agency, but there is currently no revenue attached. Fees may become available for Temporary roles in the future; in the meantime, if you wish to negotiate an introduction fee for a vacancy on mypeoplebiz, you must contact the Employer directly and come to an arrangement.

What action should I take in the event that an Introduction Fee is late or unpaid?

In the unlikely event that an Employer has not paid you an Introduction Fee in full within 14 days of the invoice date, you may charge interest on overdue amounts (see our Terms & Conditions for details). Your Contract is with the Employer, not with mypeoplebiz, so if you do not receive payments due to you, Employer you will need to contact the Employer directly (and/or take legal action if desired) to try and claim your Introduction Fee.

Does the Employer pay my tax?
